Getting three quotes is good advice that generates a confusing result. The spread on an ordinary appliance repair is routinely two to three times, and the instinct is to assume someone is overcharging. Sometimes someone is. More often the three numbers describe three different transactions that happen to share a name.
This is not a defence of high prices. It is a description of what is inside a price, so you can tell the difference between a shop that is expensive and a shop that is quoting a different job.
The three parts of a price
Nearly every appliance repair invoice decomposes into the same three things:
- The part. What the shop paid, plus a markup.
- The labor. Either an hourly rate against actual time, or a flat-rate book price for that specific job on that specific machine.
- Getting there. The trip charge or diagnostic fee, which may or may not be folded into the total.
Two shops can arrive at wildly different totals while being equally honest about all three. The variance lives mostly in the first two.
Where the part comes from
This is the biggest single driver, and it is invisible on most quotes.
OEM versus aftermarket. A manufacturer-original part and a generic equivalent can differ by a factor of two or three. Take a washer door lock assembly: our parts reference shows a typical range of $40 to $140 for the same functional component. A shop quoting the top of that range with an OEM part and a shop quoting the bottom with an aftermarket one are not competing on the same product. Aftermarket is often fine. Sometimes it is markedly worse. The shop should be willing to tell you which it is using.
Markup. Shops mark parts up, and this is not a scandal — it funds carrying inventory, warranty replacements, and the technician's time sourcing the right part for your model. There is no honest figure to put on what a normal markup looks like, because what a shop paid for a part is not something you or we can see. What you can do is insist that the quote separates the part from the labor, then check the part line against what a homeowner pays retail. A shop that stocks the part on the van and fixes it on the first visit has earned some of that; a shop that orders it and comes back has earned less of it but saved you nothing in time.
Availability. A part for a common mainstream model is cheap and everywhere. The same functional part for a luxury or imported model can be several times the price with a two-week lead time, and a shop that has to source it from a single distributor will price that reality in.
You can sanity-check any part line yourself in about two minutes. Look the component up in our parts directory or search your model number at any of the suppliers listed there. You will not see the shop's cost, but you will see what a homeowner pays retail — and if the quoted part line is far above retail, that is a fair question to ask.
Labor and overhead
Labor rates for appliance repair vary by metro area more than almost any other input. A one-technician operation in a small town and a fifteen-van company in a major city have genuinely different cost structures: insurance, bonding, licensing, vehicle costs, a dispatcher, a warranty reserve, and a physical shop all land in the hourly rate.
Two structural differences worth knowing:
Flat rate versus hourly. Many shops quote from a flat-rate book: this repair, on this machine, is this price, regardless of whether it takes the technician forty minutes or two hours. Flat rate protects you from a slow technician and protects the shop from a difficult machine. Hourly is more transparent and exposes you to variance. Neither is dishonest; ask which you are being quoted.
Who is coming. A factory-trained technician with brand-specific tooling and a service account with the manufacturer costs more than a generalist, and is worth more on some machines and identical on others. On a top-load washer with an agitator, that premium buys you very little. On a modern sealed-system refrigerator repair or a brand with proprietary diagnostics, it can be the difference between fixed and not.
They may not be quoting the same repair
This is the most under-appreciated source of spread. If you describe a symptom over the phone — “my dryer is not heating” — you will get estimates based on three different assumptions about the cause. A thermal fuse is a $5 to $60 part. A heating element is $20 to $60. A control board is a different tier entirely. All three cause the same symptom, and the diagnosis genuinely requires being at the machine.
A phone estimate is therefore a guess wrapped in a range, and a shop that gives you a confident single number over the phone without seeing the machine is either quoting the most likely cause or quoting the worst case. Ask which.
The second version of this: two technicians can look at the same machine and reach different conclusions about the right fix. One replaces the failed component. The other replaces the failed component and the assembly it sits in, because in their experience the assembly is next. That second quote is higher and might well be the better value. It is also, occasionally, upselling. The way to tell is to ask what evidence supports the larger repair.
The warranty on the work
A repair with a 90-day parts-and-labor warranty and a repair with a one-year parts-and-labor warranty are different products. The longer warranty costs the shop money in expected returns, and that cost is in your quote.
Ask three things about it:
- How long, and does it cover parts and labor, or only the part?
- If the same fault recurs, is the return visit free including the trip charge?
- Is the warranty from the shop or passed through from the part manufacturer? A part-only manufacturer warranty means you pay labor again.
A shop offering a year on parts and labor is making a statement about its diagnosis. That is worth a real premium over a 30-day warranty.
Comparing fairly
To compare three quotes as though they are the same thing, normalise them. Ask each shop for the same six data points:
- What part or parts are you replacing, by name?
- Is that part OEM or aftermarket?
- What is the part line and what is the labor line, separately?
- Is the diagnostic fee included in this total, or added?
- What is the warranty, in months, on parts and on labor?
- Is the part on the van, or does it need ordering — and if so, is there a second trip charge?

When a low quote is the warning
Cheap is often just cheap. But a quote that is dramatically below the others usually has an explanation, and it is worth finding out which one:
- It excludes the diagnostic fee that the others folded in, and the real total is closer than it looks.
- It is a used or salvaged part, which can be a legitimate and sensible choice on an older machine — but you should be told.
- It is quoting the cheap cause of an ambiguous symptom, and will be revised upward once the machine is open.
- It carries a 30-day warranty where the others carry a year.
- The business is not licensed or insured where your state requires it. This matters most on gas appliances and anything involving the sealed system of a refrigerator or freezer, where the work is regulated for good reason. And before you spend time comparing quotes at all, check that the repair is worth doing. A $310 quote and a $475 quote are the same decision if the appliance is thirteen years old — both are wrong, and the answer is replacement.
